Create and manage invoices

AgniDesk guide · Invoices · Updated 5 October 2026

Create invoices for services and completed work, record payments and TDS, and track outstanding balances.

Create an invoice

  1. Open Practice & billing › Invoices and press New invoice.
  2. Pick the Customer on file — their name, email, GSTIN, place of supply and billing address fill in — or choose Not on the customer list and type them.
  3. Choose a Template and check the Invoice date and Terms days; the Due date follows from them.
  4. Add a line for each service: Item, SAC, Qty, Rate, Discount, Tax % and a Description.
  5. Add Notes, Terms, Payment instructions or a Payment link if you use them.
  6. Press Save draft, or Save and send to email it straight away.

The SAC field suggests the codes accounting firms use most — 998221 Financial auditing, 998222 Accounting and bookkeeping, 998223 Payroll, 998231 Corporate tax, 998232 Individual tax and 998311 Management consulting. New lines start at 18% GST when your firm has a GSTIN; you can change Tax % on any line.

How GST is worked out

  • Your state comes from the firm GSTIN on the template.
  • The customer's state comes from the Place of supply, or else from their GSTIN.
  • Same state: CGST and SGST, half each. Different states: IGST.
Tax Invoice
Your firm has a GSTIN and tax is charged.
Bill of Supply
Your firm has a GSTIN but no tax is charged on any line.
Invoice
Your firm has no GSTIN.

If you charge tax but the template has no GSTIN, AgniDesk warns you that it cannot print as a tax invoice. Add the GSTIN in Settings or on the template.

Invoice numbers and templates

Invoices are numbered by financial year — INV-202627-0001, INV-202627-0002 and so on — and start again each April. Change the prefix (1 to 5 letters or digits) in Settings; a new prefix starts a new series and earlier invoices keep their numbers.

Templates control how an invoice looks and what it carries: title, colour, your business name, GSTIN, PAN, address, logo, tax breakup, payment block, default notes and terms. Anything left blank is taken from your firm's Settings, so most firms only need to fill Settings once. Built-in formats (Service standard, Tax detailed, Compact) are ready to use.

Send, remind and correct

Draft
Not yet sent — fully editable.
Sent
Emailed or marked as sent. Only the due date and payment details can change.
Partial
Part paid.
Paid
Fully settled.
Overdue
Sent or part paid, with a balance past its due date.
Written off
Balance written off by an admin.
Void
Cancelled. Cannot be undone; the work can be invoiced again.
  • Send (or Email again) emails the invoice as a PDF; Only mark as sent records that you sent it another way.
  • Send reminder emails an overdue invoice again.
  • Print / Save PDF prints or saves a copy.
  • Credit note reduces a sent invoice — numbered CN-202627-0001 — for excess billing, a discount, deficiency in service or service not provided.
  • Void cancels an invoice raised in error.

Record payments and TDS

  1. Press Receive payment (or Record payment on an invoice).
  2. Choose the Customer and enter the Amount received.
  3. Enter TDS deducted if the customer deducted tax — it settles the invoice like cash.
  4. Choose the date, Mode (bank transfer, UPI, cheque, cash, card) and the Bank account, and add the reference (UTR, cheque number or UPI reference).

A receipt is spread over the customer's open invoices, oldest first, or split by hand. Anything extra is kept as an advance on the customer's account. Part payments move an invoice to Partial.

Let AgniDesk draft invoices for you

Auto invoice generation
Marking a work item Completed creates a draft invoice at its fee. Generate now does it for work already done.
Auto invoice on filing
Marking a return filed creates a draft invoice at that return's fee.
Require last invoice closed first
Stops a return being marked filed while the previous period's invoice for that customer is still open. Off by default.
Overdue reminders
Emails the customer 7 and 15 days after the due date, with the invoice attached — once each.

Automatic invoices are always drafts — nothing is sent until you send it. Only people who can manage invoice templates can switch these on or off.

Find invoices and see what is owed

Filter by All time, Month, Quarter or Financial year and by status, and search by invoice number or customer. The figures at the top compare the period with the one before. Export sends the list to Excel. On a phone each invoice shows as a card with its status, total and balance.

Common questions

What GST rate applies to a CA firm's professional fees?

Most professional services attract 18% GST. AgniDesk starts new lines at 18% when your firm has a GSTIN, and you can change the rate on any line.

Should my invoice show CGST and SGST or IGST?

CGST and SGST when your firm and the place of supply are in the same state; IGST when they are in different states. AgniDesk decides this from your GSTIN and the customer's place of supply or GSTIN.

Which SAC code should I use for accounting and tax services?

Common codes are 998221 (financial auditing), 998222 (accounting and bookkeeping), 998223 (payroll), 998231 (corporate tax consulting) and 998232 (individual tax). AgniDesk suggests these in the SAC field.

My client deducted TDS. How do I record it?

Enter the amount received and the TDS deducted when you record the payment. The TDS settles the invoice like cash, so the invoice closes at the full amount.

Why does my invoice say Bill of Supply?

Your firm has a GSTIN but no GST is charged on any line of that invoice.

How do I correct an invoice I have already sent?

Raise a credit note for the difference, or void the invoice and raise a new one.

Can invoices be raised automatically when a return is filed?

Yes. Switch on Auto invoice on filing. When a return with a fee is marked filed, a draft invoice is created for you to check and send.
