Track time and billable work
AgniDesk guide · Timesheets · Updated 5 October 2026
Log time by customer and service, review billable hours, and create draft invoices from unbilled work.
Log your time
Open Practice & billing › Timesheets. The Log time card is at the top of the page.
- Day defaults to today. Pick another day if you are catching up — time cannot be logged for a future date.
- Choose the Customer. Leave it at No customer (internal) for office work such as training or admin.
- Choose the Service (for example GST or Income tax), Admin, or —.
- Type the Hours as 1:30, 1.5 or 90m. All three mean an hour and a half.
- Add Notes so a reviewer knows what the time was for.
- Keep Billable ticked for work you can charge for; untick it for time that should not reach an invoice.
- Press Log (or Enter). A message confirms, for example “1:30 logged.”
One entry can be from 1 minute up to 24 hours. Notes can be up to 500 characters.
Use the timer
Prefer not to add it up later? Press Start a timer when you begin. A running clock shows how long you have been working, and it keeps running if you leave the page or reload.
When you finish, press Stop — put it in Hours. The time lands in the Hours box (at least one minute) with today as the day; choose the customer and service and press Log.
The timer lives in the browser you started it in. Stop it on the same computer.
Review the week and repeat entries
Under the form, the week runs Monday to Sunday. Use Previous week and Next week to move. The strip shows the hours logged each day — click a day to log time against it — and a summary line shows the week's total and how much of it is billable.
- ↻ Log this again today copies the customer, service, notes and billable setting into the form with today's date; you only type the hours. Useful for recurring work such as monthly GST.
- Remove deletes an entry. You can remove your own time; admins can remove anyone's.
- Entries marked Billed are already on an invoice and cannot be removed — change the invoice instead.
Who sees what
- Staff
- Log and remove their own time, and see only their own entries.
- Admin
- Log time for anyone, filter by person with Whose time, open Reports and bill unbilled hours.
- Superadmin (owner)
- Everything an admin can do, plus hourly rates and the owner's insights.
Hourly rates are never shown to staff.
Reports: hours by customer, person or service
Admins switch View to Reports. Choose a From and To date (the month so far by default) and Group by Customer, Person or Service. The header shows the total time, what it is worth and how much is still unbilled; each row shows hours, the billable share, the worth and the unbilled hours and amount.
Set hourly rates
The Hourly rates card sits at the bottom of Reports and is visible to the owner only. Enter each person's rate in ₹ an hour; it saves as you leave the box.
Time is valued, and billed, at the rate of the person who logged it: two hours by a partner at ₹3,000 is worth ₹6,000, two hours by an article at ₹500 is worth ₹1,000. A person with no rate counts as ₹0.
Turn unbilled time into an invoice
- In Reports, group by Customer.
- On a customer with unbilled time, press Bill.
- Check the hours and amount before GST in the confirmation, then press Make the draft.
AgniDesk creates a draft invoice with one line per service and rate — hours as the quantity, the person's rate as the price. Time with no service is billed as Professional services. GST at 18% is added when your firm has a GSTIN, and the invoice is due in 15 days. The entries are marked Billed so they cannot be billed twice. The draft can still be edited or voided before you send it.
Bill is greyed out when the time is worth ₹0 — set an hourly rate first.
Owner insights: which clients cost more than they pay
In Reports, the owner also sees Insights for the owner for the same period:
- Hours logged
- All time in the period, with how much was internal.
- Billable share
- How much of the time was billable. Below 60% is highlighted.
- Time worth
- Billable time at each person's rate, next to the fees earned for the period.
- Not billed yet
- Billable time that is not on any invoice.
- By person
- Each person's hours, billable share and worth.
- Effort against fee
- For each customer: hours, the fee for the period, fee per hour and Over fee — how much more the time was worth than the fee. Costliest first.
A customer at the top of Effort against fee is taking more of your team's time than their fixed fee covers at your own rates. That is the list to re-price or re-scope at the next renewal.
Fees come from each customer's service fees, spread over the period. If someone has no rate, a warning names them — their time counts as ₹0 until you set one.
Common questions
How do I track staff time per client in a CA firm?
Ask everyone to log each piece of work against the customer and service in Timesheets — or run the timer. An admin then opens Reports and groups by Customer (time per client) or by Person (time per team member) for any period.
How can I find out which clients are unprofitable?
As the owner, set each person's hourly rate, then open Reports and read Effort against fee in the owner's insights. It compares the value of the time spent on each customer with that customer's fees for the period; a positive Over fee means the work cost more than you charged.
Can I bill clients by the hour?
Yes. In Reports grouped by Customer, press Bill on a customer with unbilled time. AgniDesk makes a draft invoice from the hours and rates, adds GST when your firm is registered, and marks the time billed.
Why does billable value show ₹0?
The person who logged the time has no hourly rate yet. The owner sets rates in the Hourly rates card at the bottom of Reports.
Can staff see hourly rates?
No. Staff see and log only their own time; rates, reports and insights are for admins and the owner.
Can I change time that is already on an invoice?
No. Billed time is locked so the invoice and the timesheet always agree. Change or void the invoice instead.
Does the timer keep running if I close the tab?
Yes, in the same browser. It is stored in that browser, so stop it on the computer where you started it.
